Why we hold it, and our lawful basis

Under UK GDPR we must have a lawful basis for processing your data. Ours are:

• To perform our contract with you — your name, telephone number, pick-up and destination details are needed to accept and fulfil your booking.
• To meet a legal obligation — Buckinghamshire Council's private hire operator licence conditions require us to keep records of all bookings, including telephone number, pick-up address, destination and journey details.
• Our legitimate interests — we record telephone calls for training and quality purposes, hold limited records to improve the efficiency of your future bookings, and use website data for statistical analysis to improve our site.
• Your consent — for any optional marketing communications, which you can withdraw at any time.

How long we keep it

We keep your data only for as long as necessary. In line with Buckinghamshire Council's private hire operator licence conditions, booking and dispatch records are retained for a minimum of 12 months, after which they are securely deleted unless we are required to keep them longer by law.

Who we share it with

We will never sell, rent, distribute or lease your personal data to anyone.

We only share data where it is necessary to provide our service or required by law. This may include:

• Our booking and dispatch system provider (iCabbi), which processes your booking on our behalf
• The driver assigned to your journey, who receives the details needed to collect you
• Buckinghamshire Council, the Police or other authorities, where we are legally required to do so

Any third party that processes data on our behalf is required to keep it secure and use it only for the purposes we specify.

We are committed to ensuring your information is secure. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we hold.
